Terms and Conditions of Participation

The conference will be held as an in-person event and conducted entirely in English. Participation includes access to all presentations, networking opportunities, the accompanying exhibition, and digital conference materials. Recording of any part of the event is not permitted.
Registered participants will receive a confirmation and an invoice. The conference fee must be paid within five (5) working days of receiving the invoice.
If a registered participant is unable to attend, a substitute participant may be named at no additional cost. In case of cancellation by the participant:

• For cancellations received by October 1, 2025, a processing fee of €100 will be charged.
• No refunds will be granted for cancellations received after October 1, 2025.

Program changes are reserved.
The organizers reserve the right to cancel the event prior to its start due to force majeure, organizational reasons, legal requirements, or official orders (e.g. public health regulations, failure to reach the minimum number of participants, or illness-related absence of key speakers).

In the event of cancellation, the organizers will decide whether to offer an alternative date or to refund the participation fee. If an alternative date is offered and the participant is unable to attend, this must be communicated in writing within 14 days after the announcement of the new date in order to be eligible for a refund.

Any further claims for compensation or damages are excluded.

Certificates of participation will be issued upon request after the conference.

By submitting a written registration, participants give their consent for their personal data to be electronically stored. All data will be handled in accordance with applicable data protection regulations.

With registration, participants agree that their information may be used by the ADD-ITC organizers:

• to compile a list of participants,
• to send invitations to future, similar events,
• and for general conference administration.

Photo and video recordings will be taken during the event. These recordings may be used by the organizers for public relations purposes, such as publication in print materials, on the website, or on social media. By registering, you agree to this use. You may exercise your data protection rights in accordance with the privacy policy of DWI – Leibniz Institute for Interactive Materials:
